Review & Feedback Analysis
Analyse reviews, complaints, support records and open feedback for recurring themes so you know what people are repeatedly telling the organisation.
Review & feedback analysis
Review and feedback analysis turns existing voice-of-customer material into structured themes and research priorities.
App stores, surveys, tickets, chat logs and complaint files already contain signals. Systematic coding and sampling reveal recurring barriers, unmet expectations and recovery failures without starting from a blank page.
UX Pacific designs coding frameworks, samples responsibly and reports themes with evidence excerpts so teams can prioritise fixes and decide where primary research is still needed.
What this method reveals
Recurring themes across feedback channels
Issues that drive complaints or low ratings
Language customers use for problems and needs
Gaps that deserve primary research next
How we run it
Source inventory and sampling plan
Coding frameworks aligned to decisions
Theme quantification with illustrative evidence
Priority briefs linking feedback to action
When to research
When feedback analysis is useful
Use review and feedback analysis when substantial unstructured feedback already exists and you need focus for product, service or research investment. It cannot replace observation of behaviour or controlled testing, and it over-represents people motivated to write.
The right participants
Voices present in the feedback you hold
Analysis covers the customers or users who left reviews, tickets or comments in the selected sources and period. We note who is missing — silent users, non-digital audiences — so conclusions stay proportionate.
Our approach
How we run review and feedback research
-
01
Frame the decision
Agree questions, sources, time windows and how themes will influence priorities.
-
02
Inventory and sample
Map available feedback channels and define a sample that balances volume with coverage.
-
03
Build the coding frame
Create categories tied to journeys, products or known issue areas, then refine on a pilot set.
-
04
Code and analyse
Apply codes systematically, track frequencies and capture illustrative excerpts.
-
05
Synthesise priorities
Cluster themes by impact, trend and readiness for design or research follow-up.
-
06
Translate findings into action
Recommend fixes, monitoring changes and primary research where explanation is still thin.
Coding discipline
Themes that teams can trust
Coders work to shared definitions and spot-check agreement. We separate volume from severity so a loud theme is not automatically the most important one.
Research in context
Channels, languages and markets
Different channels attract different voices. Cross-market analysis preserves local language and service context rather than forcing a single global theme list.
Research ethics
Handling personal and sensitive content
Feedback often contains personal data. We minimise identifiers in deliverables, follow access rules and treat complaint narratives with care — especially in health, finance or safety contexts.
The output
What your team can receive
Outputs may include theme taxonomies, frequency views, evidence excerpt packs, journey-tagged issue lists and a research agenda for remaining unknowns. Reporting states sources and sample limits clearly.
Clear boundaries
Interpreting feedback evidence
Feedback analysis reflects people who chose to write and the channels you can access. It does not measure silent satisfaction or prove causation. We recommend complementary methods when decisions need behavioural observation, prevalence among all users or controlled task evidence.
Let us help shape the next step
Hear what people already tell you.
Turn noise into clear priorities.
Share the feedback sources, period and decisions analysis should support.
